# Refunds & Receipt Returns

Process a direct refund or return items from an original receipt while protecting the financial audit trail.

# Choose the Right Refund Workflow

Use an original-receipt refund whenever the original sale can be found. RepairNest POS can load eligible items and track how much of each line has already been returned.

Use a direct register refund only when your policy permits a return without the original receipt. Direct refunds require extra care because they begin from manually selected products rather than the original sale record.

Before either workflow, verify the customer, product, quantity, condition, serial or IMEI when applicable, refund amount, payment method, and employee authorization.

# How to Refund an Item from the Original Receipt

**Navigation:** Review → Receipts.

1. Find and open the original receipt.
2. Open its three-dot actions menu and select **Refund**.
3. The eligible receipt items load into the register refund workflow.
4. Delete any cart lines the customer is not returning.
5. Adjust quantities only within the refundable quantity.
6. Confirm serialized items against the physical serial or IMEI.
7. Complete refund checkout and provide the refund receipt.

Items already fully refunded cannot be refunded again.

# How to Process a Direct Refund Without a Receipt

1. Open the Register.
2. Select **Refund** mode.
3. Search or scan the returned product.
4. Confirm quantity, price, tax, and serial or IMEI when applicable.
5. Select **Add**.
6. If returning another item, confirm Refund mode again before adding it because the mode may return to Sale after each refund line.
7. Review the negative total and complete refund checkout.

Use this workflow only when permitted. It is easier to choose the wrong item or amount without the original receipt.

# How to Process a Partial Receipt Refund

After loading the original receipt into the refund workflow:

1. Review all eligible receipt lines.
2. Delete every item that is not being returned.
3. For a multi-quantity line, keep only the quantity actually returned.
4. Confirm the refund total, tax, discounts, and tender.
5. Complete checkout and provide the refund receipt.

RepairNest POS tracks refunded quantity. A product line can be refunded only up to the quantity originally sold; a fully refunded item cannot be refunded again.

# Refund Safety Rules and Common Problems

- Confirm you are in Refund mode before adding every direct-return line.
- Use the original receipt whenever possible.
- Never refund more than the eligible sold quantity.
- Match serialized returns to the physical serial or IMEI.
- Confirm the customer, amount, tax, discount, and refund payment method.
- Layaway and repair payment receipts must be refunded from their own module, not the general receipt list.

A completed refund becomes part of the financial record and its refunded quantity cannot simply be returned to an unrefunded state. Refund receipts are not ordinary sales receipts that staff should delete or reverse. If a mistake is completed, stop and follow an authorized manager or accounting correction process.
