# Payment Methods & Checkout Controls

Create and manage payment methods, require checkout information, connect card processors, and protect integrated-payment bypasses.

# Payment Method Basics

Create, display, hide, edit, and remove the payment choices employees use at checkout.

# What Is a Payment Method?

A payment method is a tender option employees can select when accepting money, such as Cash, Credit Card, Debit Card, or another configured method.

Payment Method Settings controls availability and checkout behavior. It is separate from the external processor that communicates with a physical card terminal.

# How to Create a Payment Method

1. Open **Settings → Payment Methods**.
2. In the payment-method list, select **New**.
3. Enter a clear name.
4. Complete the available method settings.
5. Save.
6. Refresh the list and confirm the method appears at checkout.

Create only methods your business actually accepts so employees are not presented with confusing choices.

# How to Hide or Show a Payment Method

1. Open Settings → Payment Methods.
2. Find the method.
3. Use its **Hidden** switch to hide or show it.
4. Wait for the list to refresh.
5. Verify the checkout screen.

Hiding a method removes it from normal employee selection without erasing historical transactions that used it. Locked system methods may have limited editing controls.

# How to Edit or Delete a Payment Method

1. Find the payment method in Settings.
2. Open **Actions**.
3. Choose Edit to update an editable method.
4. Choose Delete only when a custom method is no longer valid.
5. Review the warning and confirm only when authorized.

Prefer hiding a method when historical use must remain understandable or when it may be needed later.

# Checkout Requirements

Require signatures, customer addresses, last-four card digits, tax, or multiple-card payment behavior by method.

# How to Require a Signature by Payment Method

1. Open **Settings → Payment Methods**.
2. Go to **Options**.
3. Under **Signature**, select every payment method that must collect a signature.
4. Select **Update Options**.
5. Test a checkout using one selected method.

You can require a signature even for Cash if that is your store policy. Leave the selection empty when no method requires one.

# How to Require a Customer Address

1. Open Payment Method Settings.
2. Under Options, find **Require Address**.
3. Select each payment method that must have customer address information.
4. Update the options.
5. Test checkout with and without a complete customer address.

Use this for payment or compliance workflows that require address collection. Avoid requiring unnecessary personal information.

# How to Collect the Last Four Card Digits

1. Open Payment Method Settings.
2. Find **Last 4** or **Collect last four digits for**.
3. Select the supported locked card methods that require this information.
4. Update the options.
5. Test the checkout prompt.

Enter only the requested last four digits. Do not place full card numbers in notes or other fields.

# How to Force Tax for Supported Card Methods

1. Open Settings → Payment Methods.
2. Under Options, find **Force Tax**.
3. Select the supported Credit or Debit methods that must always apply tax.
4. Select **Update Options**.
5. Test with an eligible taxable item.

This helps prevent an employee from unintentionally removing applicable tax when the selected card method requires it. Configure tax rates and product taxability correctly before enabling the rule.

# How to Allow Multiple Card Payments

1. Open Payment Method Settings.
2. Find **Multiple Card Payments**.
3. Enable it when one sale may use more than one credit or debit card.
4. Update the options.
5. Test a split-card checkout.

This controls multiple card tenders within a sale. Employees should confirm each approved amount and the remaining balance before completing checkout.

# How Payment-Specific Requirements Work at Checkout

Requirements are evaluated from the payment method selected for the sale. A method may trigger one or more prompts for signature, customer address, last four digits, or forced tax.

Configure only requirements that match store policy. After changes, test every affected method on a safe transaction so employees understand the new prompts and cannot complete checkout with missing required information.

# Card Processing Integration

Enable online processing, choose the payment processor, and manage the connected terminal.

# How to Enable Online Card Processing

1. Open **Settings → Payment Methods**.
2. Find **Payment Processing**.
3. Turn processing to **Enabled**.
4. Select the active payment processor.
5. Open the processor’s device-management link when shown.
6. Configure and test the physical terminal.

When processing is Offline, integrated card requests are not sent through the selected processor.

# How to Select and Manage a Payment Processor

1. Enable online processing.
2. Open the **Payment Processor** list.
3. Select the processor configured for your account.
4. Save the setting.
5. Use the displayed management link for Dejavoo, Stripe Terminal, PAX, or another supported processor as applicable.
6. Run an approved test transaction and confirm the result returns to RepairNest POS.

Do not select a processor that has not been provisioned for the location.

# Integrated vs. Non-Integrated Card Processing

**Integrated processing** sends the payment request from RepairNest POS to the selected card terminal and returns the approval result to checkout.

**Bypassed or non-integrated processing** records the tender in POS without using the normal integrated request for that payment.

Use integration whenever it is available. Bypass should be a controlled exception for an approved operational reason, not a routine shortcut.

# Card Integration Setup Checklist

- Confirm online processing is enabled.
- Select the correct processor for the location.
- Confirm the correct terminal or device is configured.
- Verify network and device readiness.
- Enable the integration PIN if bypass needs protection.
- Test approval, decline, cancellation, and receipt behavior according to your processor’s safe test procedure.
- Train employees not to retry uncertain payments without checking transaction status.

# Integration Bypass Security

Understand payment-integration bypass and require a PIN to prevent unauthorized use.

# What Is Payment Integration Bypass?

Payment integration bypass lets an employee record a card payment without sending it through the normal connected terminal workflow.

This can be useful during an approved processor or device exception, but it also creates risk: the POS entry alone does not prove that the external payment was approved.

Keep integrated processing enabled for normal transactions and restrict bypass to authorized employees who can verify the payment independently.

# How to Require a PIN for Integration Bypass

1. Open **Settings → Payment Methods**.
2. Enable online payment processing.
3. Find **Credit Card Integration PIN**.
4. Turn the integration PIN on.
5. Select **Update Password**.
6. Enter and save the authorized PIN.
7. Test the bypass control to confirm the PIN is required.

Share the PIN only with employees permitted to approve a non-integrated exception.

# How Authorized Employees Use Integration Bypass

1. At checkout, confirm there is an approved reason not to use the connected terminal.
2. Choose the bypass or non-integrated option.
3. Enter the integration PIN when prompted.
4. Verify the external terminal or payment source shows a valid approval.
5. Record the correct tender and complete checkout.
6. Retain any required receipt or approval reference.

Never use bypass to avoid a decline, connection warning, or uncertain transaction without verifying the real payment status.

# Integration Bypass Security Best Practices

- Keep the PIN different from employee register PINs.
- Limit knowledge of the PIN to authorized managers.
- Change it when an authorized employee leaves or it may be exposed.
- Review bypassed payments and processor settlement regularly.
- Document why bypass was used.
- Check for duplicate charges before retrying an uncertain integrated payment.
- Disable online processing only when the location intentionally operates offline.

# Payment Method Troubleshooting

Resolve missing methods, checkout prompts, processor issues, and bypass-PIN problems.

# A Payment Method Is Missing at Checkout

Open Settings → Payment Methods and confirm the method is present and not hidden. Refresh the payment-method list and checkout screen.

If it is a built-in method, editing may be limited. Confirm the employee is using the correct location and that any required module is enabled.

# Checkout Requires Unexpected Information

Open the Options section and review which methods are selected for Signature, Require Address, Last 4, and Force Tax. Remove the method from an unnecessary rule or complete the required information according to policy, then select Update Options.

# The Card Terminal Is Not Responding

1. Confirm online processing is enabled.
2. Verify the correct payment processor is selected.
3. Open the processor’s device-management page and check the configured terminal.
4. Check power, network, and device status.
5. Do not repeatedly retry an uncertain charge.
6. Use an authorized bypass only after verifying the external payment path and entering the required PIN.

# The Integration Bypass PIN Does Not Work

1. Confirm Credit Card Integration PIN is enabled.
2. Have an authorized manager select Update Password and set the intended PIN again.
3. Save and retry the approved bypass workflow.
4. Confirm the employee is not entering a cash-drawer or employee PIN by mistake.

Do not disable bypass protection merely to avoid resolving an authorization problem.
