# Expenses

Record business expenses, organize payees and categories, keep receipts and attachments, review expense history, and improve Profit & Loss accuracy.

# Expense Fundamentals

Understand expenses, payees, categories, and how expense records support accurate profitability reporting.

# What Is an Expense in RepairNest POS?

An expense is a business cost recorded so the system can track where money went. Examples include rent, utilities, salaries, advertising, office supplies, maintenance, and professional services.

Each expense connects an amount and date with:

- A **payee**—the person or business receiving the money
- A **category**—the business reason for the cost
- A **payment method** and, when applicable, the register used to fund it
- Supporting details such as a reference, description, receipt, or attachment

# Payee vs. Expense Category: What Is the Difference?

A **payee** answers “Who did we pay?” An **expense category** answers “Why did we spend the money?”

## Example: employee salary

- **Payee:** the employee’s name
- **Category:** Salary or Payroll

## More examples

- Payee: Building Owner; Category: Rent
- Payee: Electric Company; Category: Utilities
- Payee: Local Newspaper; Category: Advertising

Using both fields consistently makes expense history and financial reporting much easier to analyze.

# Why Recording Expenses Is Important

Sales alone do not show whether the business made money. Accurate expense records reveal the operating costs that reduce gross earnings and help the Profit & Loss report calculate a more meaningful net result.

## Good expense data helps you

- Understand where money is being spent
- Compare costs by payee, category, and period
- Explain register cash removed for a business expense
- Keep receipts and supporting documents connected to the record
- Identify costs that are rising faster than sales
- Make pricing, staffing, and budgeting decisions

An omitted expense can make profit appear higher than it really is.

# Expense-Recording Best Practices

- Enter expenses promptly using the actual date and time.
- Use one consistent payee record per person or business.
- Choose specific, reusable categories.
- Select the real payment method.
- Turn on Pay From Register only when cash or payment is actually taken through that register workflow.
- Add an invoice, check, transaction, or confirmation number as the reference.
- Write a description that another manager can understand later.
- Attach the bill, receipt, or proof of payment.
- Review the expense before saving to avoid duplicate entries.

# Payees & Categories

Create and maintain the people or businesses you pay and the reasons you spend money.

# How to Create an Expense Payee

1. Open the Expense module and go to **Payees**, or choose **Add New Payee** while creating an expense.
2. Enter the payee’s name.
3. Add useful contact information such as phone number and email.
4. If needed, add an account number, website, address, and notes.
5. Save the payee.

Create payees for employees, landlords, utilities, service providers, government agencies, and any other person or organization your business pays.

# How to Create an Expense Category

1. Open the Expense module and go to **Categories**, or expand Other Options while creating an expense and choose **Add New Category**.
2. Enter a clear category name.
3. Save the category.

Useful categories include Salary, Rent, Utilities, Advertising, Insurance, Office Supplies, Repairs and Maintenance, Bank Fees, and Professional Services.

Avoid creating several names for the same purpose, such as “Electric,” “Electricity,” and “Power Bill.” Consistent categories produce cleaner reports.

# How to Edit or Remove a Payee

1. Open **Expense → Payees**.
2. Find the payee.
3. Choose the edit action to update the name, contact details, account information, address, or notes.
4. Save the changes.

Remove a payee only when it is no longer needed and your permissions allow it. If the payee has historical expense records, preserve reporting integrity and follow the system’s validation rather than recreating or deleting history casually.

# How to Choose Useful Expense Categories

Categories should be broad enough to reuse but specific enough to support decisions.

## Good structure

- Payroll or Salary
- Rent
- Utilities
- Advertising and Marketing
- Insurance
- Office Supplies
- Repairs and Maintenance
- Professional Fees

Use the same category for the same kind of expense every time. The payee can vary while the category remains the same—for example, several employees may all use the Salary category.

# Create an Expense

Enter the date, payee, payment method, amount, register funding, receipt preference, attachments, and additional details.

# How to Create an Expense

1. Open **Expense** and choose **New**.
2. Confirm the expense date and time.
3. Select the payee, or add a new payee.
4. Select the payment method.
5. Enter the expense amount.
6. Choose whether to **Pay From Register**.
7. Choose whether to print an expense receipt.
8. Attach a bill or proof of payment if available.
9. Expand **Other Options** to add a reference number, category, and description.
10. Review the record and select **Save**, or **Pay and Save** when using the register.

# How to Select a Payee and Payment Method

Select the person or organization receiving the payment, then choose how the business paid.

1. Open the Payee list and select the correct record.
2. If the payee is missing, choose **Add New Payee**, save it, and then select it.
3. Choose the actual payment method used for the expense.
4. Enter the amount and review the details before saving.

The payee is required. Accurate payment-method selection makes register activity and financial review easier to reconcile.

# How to Pay an Expense From the Register

Use **Pay From Register** when the expense is paid through the active register workflow and should be reflected in its cash or payment activity.

1. Create the expense normally.
2. Select the payee, payment method, and amount.
3. Turn on **Pay From Register**.
4. Choose **Pay and Save**.
5. Complete any employee authorization or payment prompt shown.
6. Confirm the expense appears in history and the applicable shift/register activity.

Leave this option off when the expense was paid independently and should only be recorded as an expense.

# How to Print an Expense Receipt

1. Begin creating the expense.
2. Turn on **Print Receipt**.
3. Complete and save the expense.
4. Review the expense receipt and use the available print action.

The expense receipt provides an internal record of the entered transaction. It is separate from a vendor’s invoice or receipt, which should be attached to the expense when available.

You can also open a saved expense from Expense History and choose **View Receipt**.

# How to Attach a Bill or Proof of Payment

1. While creating the expense, find **Attachment**.
2. Select **Attach File**.
3. Choose the image or supported document representing the bill, invoice, or payment proof.
4. Review the attachment entry.
5. Remove an incorrect file before saving if necessary.
6. Save the expense.

Attachments keep the source document connected to the transaction. Use clear files that show the vendor, date, amount, and purpose whenever possible.

# How to Add a Reference, Category, and Description

1. On the expense form, expand **Other Options**.
2. Enter a **Reference Number**, such as a vendor invoice, check number, bank confirmation, or transaction ID.
3. Select the expense category, or add a new category.
4. Enter a useful description.
5. Save the expense.

A strong description explains what was purchased and why. Do not repeat only the payee name; include enough context for a manager reviewing the record later.

# Expense History & Records

Search, filter, view receipts and attachments, edit records, and understand deletion choices.

# How to View and Search Expense History

1. Open the Expense module.
2. Use the date-range selector to choose the period.
3. Select one or more payees to narrow the list.
4. Use the search field for matching visible information.
5. If needed, choose the one-time all-dates search option.
6. Review the date, employee, payee, funding indicator, amount, and attachment count.

The total row summarizes the expenses currently returned by the selected view. Keep the date and filters in mind when interpreting it.

# How to View an Expense Receipt or Attachment

## View the expense receipt

1. Find the expense in history.
2. Select its numbered receipt link or open the action menu.
3. Choose **View Receipt**.

## View attachments

1. Select the attachment-count indicator on the expense row.
2. Choose the attachment from the list.
3. Review it in the attachment viewer.

Compare the stored expense information with the source document when reconciling records.

# How to Edit an Existing Expense

1. Open Expense History.
2. Find the expense using date, payee, or search filters.
3. Open the row’s action menu and choose **Edit**.
4. Correct the necessary fields.
5. Review the payee, payment method, amount, funding source, category, and supporting details.
6. Save the changes.

Edit a financial record only to correct or complete it. Preserve attachments and reference details that support the original transaction.

# How to Delete an Expense Safely

Deleting an expense changes expense history and can change financial totals. Confirm that the record is truly incorrect or duplicated before continuing.

1. Find the expense in history.
2. Open its action menu.
3. Choose **Delete**.
4. If the expense is linked to a Pay transaction, use the specific **Delete Expense and Pay** option only when both linked records must be removed.
5. Review the confirmation carefully and complete the authorized action.
6. Recheck expense history and the relevant report period.

Do not delete a legitimate expense merely to make a report look better.

# Expense Module Troubleshooting

## The payee is missing

Choose Add New Payee, save the record, and then select it.

## The expense will not save

Confirm the payee, payment method, and positive amount are complete. Review any validation message.

## The expense is not in the expected period

Check its entered date and time, then reset the history date range.

## The attachment is missing

Open the attachment count from history. If none appears, edit the expense and attach the correct supporting file.

## The register total looks unexpected

Confirm whether Pay From Register was enabled and whether the correct payment method and active shift were used.

# Expenses in Reports

Use Expense and Profit & Loss reports to understand operating costs and net profitability.

# How Expenses Affect Profit & Loss

Revenue and gross profit do not tell the full story. Operating expenses reduce the amount the business actually keeps.

In simplified terms:

**Net profit or loss = gross profit − recorded operating expenses**

RepairNest POS uses the expense records available to the selected Profit & Loss period. If rent, payroll, utilities, or another cost is missing, the net result can appear stronger than reality. If an expense is duplicated or dated incorrectly, the report can understate performance.

Complete, categorized expense records make Profit & Loss reporting more useful for management decisions.

# How to Review the Expense Report

1. Open **Reports**.
2. Find the financial reports and choose **Expense**.
3. Select the reporting date or period.
4. Review expense totals and details.
5. Compare payees, categories, payment methods, and time periods as available.
6. Open the related expense record when supporting detail is needed.

Use the Expense report to understand spending before interpreting net Profit & Loss results.

# How to Use Expenses to Improve Business Decisions

Expense tracking is most valuable when it leads to action.

- Compare recurring costs from month to month.
- Review spending by category to find rising overhead.
- Compare payroll and staffing costs with sales trends.
- Check whether marketing costs are producing enough revenue.
- Identify vendors or payees receiving increasing payments.
- Use net profit—not sales alone—when evaluating performance.

Investigate unusual changes by opening the underlying expense records and attachments.

# How to Keep Profit & Loss Results Accurate

- Enter every legitimate operating expense.
- Use the actual expense date.
- Avoid duplicate payees, categories, and transactions.
- Classify the same kind of cost consistently.
- Record the correct amount and payment method.
- Attach receipts or bills for verification.
- Review and correct errors before closing the reporting period.
- Limit deletion and editing to authorized employees.

RepairNest POS provides business-management information from the data entered. Review important financial results with your bookkeeper or accountant and follow the accounting rules applicable to your business.

The Expense module records money your business spends outside normal inventory purchasing. Complete expense records make cash activity easier to explain and provide the operating-cost information needed for meaningful financial reports.
